As an Executive Assistant , you will play a pivotal role in supporting the CEO and executive leadership, ensuring the efficient operation of the company, and driving strategic initiatives. This position requires a proactive, highly organized, and versatile individual with excellent communication and leadership skills.

 

Responsibilities:

  • Communication: Serve as a point of contact between executives, internal teams, clients, and external partners, ensuring timely and accurate communication.
  • Documentation: Prepare and edit documents, presentations, and reports for executive review and distribution.
  • Meeting Coordination: Organize meetings, prepare agendas, take minutes, and follow up on action items to ensure efficient decision-making and project progress.
  • Administrative Support: Manage calendars, schedule meetings, coordinate travel arrangements, and handle correspondence on behalf of executives.
  • Data Management: Maintain and update databases, contacts lists, and files, ensuring information is accurate and accessible.
  • Project Assistance: Support executive team members with project management tasks, including tracking deadlines, gathering information, and coordinating resources.
  • Event Planning: Assist in planning and coordinating company events, conferences, and team-building activities as needed.
  • Confidentiality: Handle sensitive information and maintain confidentiality with discretion and professionalism.
  • Research: Conduct research on industry trends, competitors, and market developments to provide insights and support decision-making.
  • Ad-hoc Tasks: Undertake various ad-hoc tasks and projects as assigned by executives to support overall company objectives.

  • Organizational Skills :Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
  • Communication: Excellent written and verbal communication skills, with a keen eye for detail and accuracy.
  • Tech Savvy: Proficient in using office software and productivity tools(e.g., Microsoft Office Suite, Google Workspace, project management software).
  • Professionalism: Maintain a high level of professionalism, integrity, and discretion in handling sensitive information and interactions.
  • Adaptability: Ability to adapt quickly to changing priorities and work well under pressure in a fast-paced environment.
  • Problem-Solving: Strong problem-solving skills and the ability to anticipate needs and proactively address issues.
  • Team Player: Collaborative mindset with the ability to work independently and as part of a team to achieve common goals.

Qualifications:

  • Bachelor’s Degree: A bachelor’s degree in business administration, communications, or a related field is preferred but not required.
  • Experience: Minimum1-3 years of proven experience as an executive assistant or similar role, preferably in a SaaS or technology-driven environment.
